2026 STEM is for Everyone London Event Sponsorship
Terms and Conditions
Thank you for supporting STEM is for Everyone, also referred to as “SFE” for the purpose of this agreement. You, your firm, and its representatives will also be referred to as “sponsor” for the purpose of this agreement. Sponsorship benefits begin within seven (7) days of receipt signature, full payment, and the sponsor’s logo in high-quality-resolution .jpg, .eps, and/ or .png format. The deadline to submit marketing assets, logos, descriptions, etc. is 15 October 2026. Sponsor agrees that SFE may use the sponsor’s name, logo, ad approved materials for marketing purposes related to the event. Sponsor data will not be shared with third parties unrelated to the event.
STEM is for Everyone, Inc is a US (Pennsylvania-based) 501(c)3, our non-profit approval documents and W9 are included herein. Upon acceptance of this sponsorship application, a pledge acceptance form will follow, inclusive of payment instructions. The Sponsor agrees to honor their pledge in the form of payment to STEM is for Everyone within seven (7) days of receipt of the invoice.
There are no restrictions on the Sponsor to make public or promote the event. A supporter seal with the STEM is for Everyone logo will be provided upon receipt of the sponsorship application and payment, and Sponsors are encouraged to proudly announce their support of this initiative.
The decision of the placement of the Sponsor’s logo shall be at the discretion of the STEM is for Everyone marketing/design team. Benefits will include the recognition outlined in the sponsorship benefits schedule, but may not be limited only to those benefits listed. The signature of this agreement by both parties establishes an agreement between STEM is for Everyone, Inc. and the Sponsor.
Ticket Usage Restrictions
STEM is for Everyone offers admission to the event along with sponsorship. Please review and accept the following ticket usage stipulations:
- All ticket holders must be registered by name, and email address via SFE’s website for admission, and will receive a QR code by email to be presented at the door.
- The deadline to register attendees is 23 October 2026.
- Attendees of the event agree that their information may be shared with the host sponsor, and visible to the event steering committee. Your information will not be shared outside of these two groups. If you do not permit SFE to share your information with the Host Company, you may advise us in writing by emailing us contact@stemisforeveryone.org
- Acceptance by agreement to these terms and conditions, and attendance to the event indicates that all participants agree that photographs taken during the even may be used on our website, social media pages, and other collateral marketing material, unless otherwise specified in writing by emailing us at contact@stemisforeveryone.org
Hold Harmless
Event Cancellation – STEM is for Everyone is not liable for failure to hold the event as scheduled due to any acts beyond our control, such as physical damage to the venue, government shutdown, pandemic, acts of war, transit cancellations, force majeure, etc. In the event is postponed due to circumstances beyond our control, sponsorship funds will be retained and applied to the rescheduled event. If a rescheduled date is not set within 15 months of the event’s original scheduled date, then 50% of sponsorship funds will be reimbursed at that time. If the event is canceled and rescheduling is not an option, SFE will strive to recover all costs with a goal (not a guarantee) of offering a full refund. If needed, the 50% that is retained will be utilized to cover lost costs incurred by STEM is for Everyone (if applicable). If the Sponsor agrees, a portion of the remaining 50% will be utilized to support the Beneficiary by either a monetary or in-kind donation.
Sponsor agrees to indemnify and hold harmless SFE, its directors, volunteers, and affiliates from and against any and all claims, liabilities, damages, or expenses arising from Sponsor’s participation in the event.
Proceeds from sponsorship pledges will benefit the 2026 Beneficiary, the Kitenga Girls School, a division of Girls Education Collective, a U.S. based non-profit, as well as prior beneficiaries or scholarship recipients, event expenses, and may possibly be used to support operating expenses (SFE is a 100% volunteer organization), and / or other STEM education charities. Charitable donations are also welcome in the form of a direct donation to either STEM is for Everyone, or any of their vetted beneficiaries either through SFE, or directly to the Beneficiary. Instructions on how to make direct donations will be made available at the time of the event, if applicable.
It is understood that this agreement supersedes all previous written and verbal agreements and negotiations relating to the event sponsorship details. Any modification to this agreement is to be made in writing and initialed and signed by authorized representatives from both parties. This entire contract is subject to the law and jurisdiction of Philadelphia, PA.
Term and Termination
This Agreement becomes effective upon execution by both parties and shall remain in effect until the conclusion of the event, unless terminated earlier by mutual written agreement or for cause. “Cause” shall include, but is not limited to, material breach of the terms outlined herein. In the event of termination, all sponsorship payments made prior to the date of termination are non-refundable.
